CLUB CADDIE - 5.4.12.7

Version 5.4.12.7 is a major enhancement release of Club Caddie that focuses on improved functionality in the Tee Sheet, F&B POS, Events and Online Memberships Sales.

New Features/Enhancements

Credit Card Processing

Clover Processing Workflow – For Credit/Debit Transactions that are processed on the Clover gateway, the Clover hardware will now ask for the Tip Amount before the card is inserted.

NOTE: Because the Tip is entered before the Card is inserted, the Tip Amounts cannot be adjusted after the Transaction is finalized

    • To implement this updated workflow, specific settings adjustments are required. Below is a step-by-step guide on how to configure your system accordingly:

      Step 1: Navigate to the settings menu by selecting “Settings” → “3P Settings” → “Clover Connect”.

      Step 2: Ensure the following configurations are activated:

      Use For Card Swipe: Turned On
      Is Production Environment: Turned On
      Sign and Tip on Device: Turned On
      Finalize Payments while Capturing: Turned On
      Ask for Tip Before Payments: Turned On

  • Step 3: Further adjustments are necessary within the “Terminal Management” section found under “Settings”. Make sure to: Enable Signature Tip on Screen: Turned On

Tee Sheet / Activities

Minimum Group Size for Online Tee Times, by Class – From Settings → Class Management → Action → Additional Settings, you can now set the Minimum Group Size for Online Tee Times by the Class. So if a Platinum Member can book as a single online, this would be set to 1. If a Gold Member is not allowed to book as a single golfer, then this Setting would be set to 2 or more.

Multiple Dependent Blocks for Activities – From Settings → Activity Center → Activity Resource → Dependent Blocks, you can now add multiple Dependent Blocks to a Resource Type

EXAMPLE: There is a Tennis Instructor that gives lessons on Clay Courts and Grass Courts.

  • So there are 4 total Resources: “Instructor (Clay Courts)”, Instructor (Grass Courts)”, and the Resources for the actual courts – “Clay Court 1” and “Glass Court 1”. If someone signs up online for a Clay Court Lesson at 11:00am, the system needs to block off the Grass Court Lesson Resource and the Grass Court Resource so that no Customers can book a Grass Court Lesson at the same time.
  • There would be “Specific Resource” Dependent Block on the Clay Court Lesson. One for the Clay Court Resource and another for the Grass Court Lesson Resource.

Requiring Credit Card for Tee Times on certain days of the week – From Settings → Tee Sheet Settings, there is a new option to “Require Credit Card to Hold Tee Time Reservations for Specific Days”. From there, you can pick and choose what days of the week you would like Customers to input a Credit Card to book a Tee Time online

Self-Check In from Mobile App – For Clients with the white-label Mobile App, Customers/Members can now Check-in for their Tee Times and Activity Bookings directly from the Mobile App. This includes all Bookings, whether they are prepaid for or not. If a Booking is not prepaid, they would have to pay for the Booking through the App before the Booking would actually be Checked-in in Club Caddie

F&B POS

Event Charging – When a Tab is created in the Register, there is now a new Payment Method for “Event Charge”. You are able to search for any Event and charge that Tab to the Event.

  • These “Event Charges” will show in the Events Module in the “Ledgers” tab of the individual Event
  • These “Event Charges” will also show on the Event Invoice

Terminal-Specific Floor Plans – From Settings → Floor Plan, there is now a multi-selectable list on the right side of the screen that is titled “Terminal Location List”. This will enable Users to specify what Floor Plans are available to view in the Register when starting a Tab by selecting a Table

  • So if there are different Terminal Locations for “Bar”, “Restaurant”, and “Patio” that all have Floor Plans, all of the Floor Plans could be available for all of those Terminal Locations, but not available to the Pro Shop Terminal Location.
Online Membership Sale

Sale Strategy – From Settings → Class Management → Action dropdown, there is a new option for “Sale Strategy”. This will allow Users to create different types of sales options for a given Class. The Sales Strategies can have different Names, Dues Amounts, and Sub-Member Limits. Every setup for the Sales Strategy will have a unique link for the online sale

Terms and Conditions – From Settings → Class Management → Action dropdown, there is a new option for “Terms and Conditions”. Users can add custom text that applies only to that specific Class. This will appear during the online signup process. If nothing is entered here, the Terms and Conditions will not appear on the online signup link

Cancellation Policy – From Settings → Class Management → Action dropdown, there is a new option for “Cancellation Policy”. Users can add custom text that applies only to that specific Class. This will appear during the online signup process. If nothing is entered here, the Cancellation Policy will not appear on the online signup link

Proration of Memberships – From Settings → Class Management, there is a new field for “Prorate on Sale”. If this is enabled, the Membership Class that is assigned/purchased will be prorated when it is assigned to a Member. Through the online sale. Coming soon:  This will work for Classes that are purchased online as well as Memberships that are manually assigned through the POS

Maximum Assignments – From Settings → Class Management, there is a new field for “Maximum Assignments”. If a number is entered here, that will be the maximum amount of active Memberships that can be held at any given time. This will also show on the Online Membership Sale link, so Customers will be able to see how many more Memberships are available. Once this number is reached, that Class will not be able to be sold or assigned
